Inventory
Understand your stock
Understand on-hand, reserved, available and external stock before making a change.
Before you start
An inventory item and access to its location. Service items and sales sets do not hold physical stock directly.
Follow the workflow
Find the item
Open Inventory and select a product. Review the quantities and the Warehouses and shelves section.
Read the quantities together
On-hand is the recorded physical quantity. Reserved stock is committed to open work. Available stock is what remains for another operation.
Check where the stock comes from
Local stock and Amazon FBA or other store stock are separate. Review Warehouse network for external observations and their freshness.
Inspect the history
Open the item history or Stock movements. Check the location, quantity, date, operation and reason before correcting a balance.
Record the real operation
Use a receipt, issue, waste or count with a reason. A count is the physical total at the selected location and lot; it is not an additional receipt. For production, record consumption through the production workflow.
What changes in stock?
| Stage or quantity | Meaning |
|---|---|
| On-hand | Recorded receipts and outputs minus issues and consumption. |
| Reserved | Quantity committed to an order or production operation. |
| Available | On-hand minus reserved stock. |
| External stock | Provider observation; it is not added to the local warehouse balance. |
Troubleshooting
Why can I not issue all on-hand stock?
Some of it may be reserved for other work. Review the related orders and production records.
Why does my colleague see a different quantity?
Their warehouse or assigned-work access may be different. Ask the workspace owner to review their access.
Does a lower external balance prove a sale?
No. An external balance change is an observation, not a local sales or stock movement.
